The digitisation of public administration in Czech Republic has been a big topic for several years now, and has brought a number of innovations and modernisations not only in the public sector. One of them is eDocuments, a modern and secure way of verifying identity without the need to carry a physical identity document. While previously their use was limited, today they can be applied in the private sphere. M2C Innovis currently offers this functionality within its Welcomo electronic reception system. We provide answers to basic questions about this innovative system.
Welcomo
Welcomo is a modern visitor check-in solution designed for a wide range of environments - from administration buildings and offices to shopping centres, logistics complexes and industrial parks. The kiosk partially or completely replaces the need for physical receptionist at the entrance and significantly streamlines visitor management. In addition, digitised check-in saves time and costs.
The kiosk is a proprietary product of M2C Innovis and stands out with its elegant design, clear user interface and detailed dashboard. The solution is fully customizable to each client's specific needs.
Check-in process
How does the whole check-in process work? It's actually very simple. After logging in to the visitor entry system, all you have to do is fill in your first name, last name, email and arrival date. The invitee will then receive an automatically generated invitation with details of the date and location of the appointment, including a security code. The visitor then simply enters the code into the kiosk or scans the QR code recieved in an invitation. Welcomo will use these details to authenticate the visitor and allow them entry.
All information about the visit is also automatically stored in the Log application, which is used for efficient visit management.
Upon arrival, Welcomo verifies the visitor's identity and informs them of the visitor policy and privacy policy. Upon successful check-in, an access card is issued and the contact person is also automatically informed to collect the visit. Depending on the pre-set workflow with the client, the visitor with the card may enter directly or be directed to a location to await the arrival of the contact person. If the building includes an elevator, the system can automatically summon it and take the visitor to the appropriate floor.
It is also now possible to use eDocuments. The verification process is similar to that of a physical document, except that it is not necessary to scan the document. The kiosk displays a QR code on the screen, which the visitor retrieves using the official e-documents app. Once confirmed in the app, the identity is verified and the access card is then issued.
Driver check-in
The logistics version of the Welcomo system, which is used to control entrances and exits to the premises, works in a similar way. In addition to the standard passenger check-in, it also collects detailed information about the cargo being transported. The driver is guided through the process intuitively, and thanks to the multilingual interface, he or she can understand the instructions regardless of the country of origin.
The system automatically assigns a loading or unloading dock, issues an access card or entry permit and directs the driver to the correct location. It also stores all the data in the internal system, so the warehouse has an overview of the vehicle's arrival in advance. The result is more efficient traffic management and better visibility of movement around the site.
